Where: City Hall – Newark, NJ

To be done:

Visit City Hall and find/confirm the room/area that the event will be taking place and confirm:
Seating arrangements
Audio/Sound system
Visuals – Screen if showing a film
Create a program for the day and include
Speakers
Have back-up plan/speakers in case anyone is late or cancels
Select photographer to do Photo Exhibition that day

Times
Subject/Title of each speakers’ speech.
Narrow down the amount of speakers as there is only about 1 hour and a half.
Flag-raising will take about thirty minutes
Email this program to speakers in advance
Send a polite reminder to speakers a fews days or a week before the event about being on time
How will we fund-raise at this event?
Two options:

Put money baskets around the room and as people leave, ask them to put something in.
Have someone stand at the door to greet/say good bye to people as they leave
“Salt the baskets” – add a few $10 bills prior so that people are more inclined to donate.
After explaining organization and requesting donations, pass the basket around.
Can give DVD for donating a certain amount of money.
Maybe with at least a $20 donation ?
How will we get the funds for this event?
Total budget for the event → around $13,500 – 15,000
Bulk of expenses for entertainment group
Airfare for 3 (round trip) = about $ 10, 500
Hotel = about $2,000
Transportation/Food/etc = about $25,000

How can we get this money?
Target 25 main contributors and request about $5,000

Send out letters

Highlight them in the program or on the day of the event
Look for African Culture Studies departments at various universities and colleges in the tri-state area.
Contact the Embassy to see if there is a list of different Rwandan groups that we can get in contact with.
Selling DVDs

What still needs to be done:

Organize a meeting soon with everyone involved, to split up responsibilities and organize different committees
Find stage/project managers in charge of different aspects of the day.
Re-write letter using last year’s template to send out to everyone to inform them about the event and request their support financially.
*Send these as soon as possible*

Look for different entertainment booking agencies that could help to find gigs for the entertainment group coming  from Rwanda
Need to get in contact with people who can organize their visas/working permit
Get in contact with the Ambassador to the UN and US for Rwanda as soon as possible
Inform them about the event and request their support
Get in contact with the Rwanda Director of Cultural Affairs
May be able to get you in contact with different Rwandan agencies and media outlets
Get in contact with Ambassador Anwarul Chowdhry
Create letters to be given at the First Ladies Summit
Personalized & typed, hand-written names on the envelopes
Should contact the embassy before this event (June 28th)
Do not ask for money in these letters!
Emphasize that their presence will make the event more meaningful
Include that Mayor Cory Booker will be in attendance
Also include a letter for the UNESCO Ambassador
Can also make promo cards to hand out to the audience
Look into prices of flags for the flag-raising. Should have 2 flags
Other:

Also discussed the possibility of creating a scholarship program for students who would like to attend the International Model UN Summer Camp next year.
